Job Summary:

The Development Coordinator supports the needs of the Community Relations and Development Department, which includes the Director of Development and Community Relations, Development and Community Relations Manager and Resource Development Manager. To perform this job successfully, the Coordinator must be computer knowledgeable with advanced skills in Word, Excel, PowerPoint, Outlook and Customer Relations Management software. This position will interact with the public and a wide range of internal and external individuals and requires the ability to be courteous, diplomatic, flexible and creatively solve problems. Must have a high attention to detail with accuracy and good organizational skills. Must be able to work with limited direction in a fast-paced environment, handle multiple tasks simultaneously and meet project deadlines with minimal supervision.

DEVELOPMENT COORDINATOR RESPONSIBILITIES

  • Responsible for managing the constituent database/CRM (Donor Perfect) from the gift entry process, including data entry, providing frequent constituent reports and analytics, maintaining accurate mailing lists, updating profiles (data clean up) and supporting all development strategy, and tracking activities
  • Prepare accurate receipts and acknowledgment letters for all gifts received in a timely manner and ensure proper recognition of organization's sponsors and donors
  • With direction from the Director of Development, coordinate meetings including constituent outreach and scheduling, tracking, and follow-up, ensuring all touch points are recorded in the CRM
  • Work directly with management and development team to manage project workflow and oversee day to day milestones for projects
  • Assist with the creation and editing of marketing pieces including collateral such as proposals, event materials, donor correspondence, sponsorship packets, etc.
  • Reconcile financial data on a monthly basis with accounting department
  • Coordinate internal and external meetings and assist with all fundraising and community outreach events (Full Moon Howl, Coffee Benefit, Community Summits, and other events as needed)
  • Coordinate Special Events including internal and external meeting coordination, event logistics and comprehensive administrative duties such as managing RSVPs, following up with sponsors and donors, etc.; may require occasional evening/overnight or weekend work
  • Help oversee the Junior Advisory Board; including occasional monthly meetings and activities coordination
  • Office management duties including answering phone and email inquiries as well as maintaining Development office organization (filing and all office supply and event needs)
  • Assemble media kits/donor kits
  • Assist with community presentations as needed
  • Manage, track and report volunteer hours
  • Maintain active files of media clippings or soft copies of media articles and relevant mental health information
  • Create, route and file accounts payable check requests
  • Provide administrative support to the Development and Community Relations department including the Director of Development and Community Relations, Development and Community Relations Manager and Resource Development Manager

Qualifications:

Education:

Candidate must hold a Bachelor's Degree in Communication or Business.

Experience:

Minimum 1-3 years development/fundraising or office management experience preferred

Prior experience in project or event management preferred

Certifications:

None

Knowledge and Skills:

Excellent written and verbal communication skills

Proficient with MS Outlook

Intermediate skill level in MS Word, MS Excel and MS PowerPoint

Excellent data entry skills

Beginning level desktop publishing skills, preference for experience with Adobe Creative Suite

Ability to solve practical problems and quickly and professionally adapt

Ability to make quality decisions with limited amount of supervision

Ability to learn new software such as Donor Perfect and InDesign

Transportation:

Must have valid Florida driver's license.

Must have clean driving record.

Physical Requirements:

Requirements include lifting of items such as boxes of office supplies or donations received for Thrift Shoppe.
Also may require transporting and setting up display board and health fair materials or packing, transporting and lifting supplies for events held outside of office.

Computer, telephone, fax, copier, printer, and standard office equipment.

Work Environment:

The work environment is fast-paced and consists of exposure to physical conditions typical of a normal office environment. The populations cared for will include patients who are confused, delusional, irrational, agitated, or uncooperative. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects. A small amount of travel may be required for meetings etc. to another PRC location.
