Job Summary:

This position is responsible for answering and transferring phone calls, managing the mail room at the PRC administrative building, managing meeting rooms calendar and deliveries as well as greeting and directing all visitors to Peace River Center. This position also assists with multiple financial processes that include accepting, recording, and preparing deposits for all payments received, contingency processing and mileage reimbursements.

  • Answer a multi-line phone system calmly and professionally, ensuring a clear understanding of various PRC programs to transfer calls accurately. Communicate any issues to the appropriate parties.
  • Greet and direct all visitors, clients, and staff to their respective locations.

Essential Duties/Requirements/Activities: (cont.)

  • Manage meeting room calendars and coordinate scheduling between PRC and HFC.
  • Enter all received money into the financial software system, balance accounts, and prepare deposit slips
  • Collaborate with the Controller Assistant to reconcile bank accounts.
  • Work with Accounts Payable (AP) and program managers for batch processing and distribution of checks.
  • Gather receipts for payment in coordination with AP and manage daily deposits.
  • Print and laminate client bus passes.
  • Oversee the contingency program, verifying the accuracy of documentation and maintaining a tracking report.
  • Maintain files for rental leases.
  • Facilitate appointments as necessary.
  • Process and distribute internal mail, as well as prepare outgoing mail from the PRC administration building. This includes maintaining interoffice mail envelopes and coordinating with various courier companies for seamless mail and package delivery
  • Meter outgoing mail, prepare certified mail, and contact FedEx for pickup.
  • Use and maintain the postage machine.
  • Assist with duplicating, collating, binding, and mailing documents.
  • Order office supplies for the front desk and copy room.

Qualifications:

Education:

Minimum High School Diploma or GED, perferred Associate’s degree in accounting or related field.

Experience:

Minimum of 2 years of general office experience.

Previous experience in an accounting or finance role is a plus.

Understanding basic accounting principles is essential.

Work Environment:

The work environment is fast-paced and consists of exposure to physical conditions typical of a normal office environment. The populations cared for will include patients who are confused, delusional, irrational, agitated, or uncooperative. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects. A small amount of travel may be required for meetings etc. to another PRC location.
